Terms and Conditions

These Terms and Conditions cover the use of all of our services and the booking of any of our services (tours or courses),. By booking a tour or course with Adventurefuel Bike Guiding, you agree to these terms, so please read them carefully. If you have any questions or concerns, please contact us.

Booking and Payment

Tour Deposits:

A 25% deposit of the tour price is required to secure your booking (or full payment if you are booking within 60 days of departure) Within your 25% deposit there is a $250.00 NZD non refundable deposit should you cancel your booking with us. 

Tour Final Payment: 

The balance of the tour price is due 60 days before the tour start date. Bookings made within 60 days of the tour start date must be paid in full at the time of booking.

Course Payments:

Courses will be paid in full at time of booking to secure booking.

Payment Methods:

We accept payments via credit card (via Stripe) and direct bank transfer. Detailed payment instructions will be provided during the booking process.

Booking Confirmation: 

Your booking is confirmed once we receive your deposit or full payment (if within 60 days of the tour). You will then receive a confirmation email with all necessary details for your trip. We reserve the right to return your deposit and decline to issue a booking confirmation at our absolute discretion. Please note that tours will only go ahead if minimum numbers are met.

Cancellation Policy

Cancellations by the Participant:

Cancellations made more than 60 days before the tours and courses start date will receive a refund of any payments made minus a $250.00 NZD non refundable deposit.

Cancellations made between 30 and 60 days before the tour start date will receive a 50% refund of the total tour price.

Cancellations made less than 30 days before the tours and courses start date are non-refundable.

We reserve the right to cancel a tours and courses if the minimum participant number is not met or if unforeseen circumstances make the tours and courses unsafe or impractical. In such cases, participants will receive a full refund, including the $250.00 NZD deposit, or may choose to transfer to another tours and courses.

Changes to Itinerary

Unforeseen Circumstances:

Adventurefuel Bike Guiding reserves the right to make changes to the itinerary due to weather conditions, safety concerns, or other factors beyond our control. This is part of our safety management plan and our goal to offer the best riding possible for the conditions.

Participant Flexibility: 

While we strive to maintain the planned itinerary, participants must be flexible and understand that changes may be necessary to ensure safety and an optimal experience.

Notification:

Any significant changes to the itinerary will be communicated to participants as soon as possible.

Participant Responsibilities

Fitness and Skill Level: 

Participants are responsible for ensuring they meet the fitness and technical skill level required for the chosen activity. Descriptions of each tour or course difficulty level are provided on our website. If you have questions or doubts please contact us.

Fitness Failure:

In the case of a lack of fitness, for example when a rider is unable to keep up with the group at a reasonable pace, where the guide decides that they will hold the group up on the majority of the rides, or is not fit enough to continue with the group, then he/she will need to pay an extra fee of for an E – MTB Rental  for the duration of the tour. The client will be responsible to pay for this full additional cost, above and beyond their rental bike they may have originally rented for the tour. The fee for E MTB will be determined depending on availability and the location of the E MTB rental. They may also have to skip sections or ride alternative trails (with a guide) if the E-Bike does not have the battery power to complete the section (They would have to ride in and out on the Old Ghost Road for example instead of riding all the way through)

Travel Insurance:

Comprehensive travel insurance that covers mountain biking and potential medical emergencies is mandatory for all participants.

Health and Safety:

Participants must disclose any medical conditions (including allergies) or dietary restrictions on the Rider Details form, which must be completed within 7 days of paying a deposit. A booking is not confirmed until this form is returned.

Compliance: 

Participants must follow the instructions of the guides at all times during the tour or course. Failure to comply with safety instructions may result in the participant being removed from the tours and courses without a refund.

Rental Bikes

All guests will be required to sign a Rental Bike Agreement Form on Day 1. This form outlines the rider’s responsibilities while using a rental bike and  that the rider is responsible to pay for any damages that may have been caused during the use of the rental bike. This may include the full retail value of the rental bike in the event the bike may be stolen or damaged to replacement value. 

Liability

Adventurefuel Bike Guiding is not responsible for any injury, loss, or damage sustained during the tours and courses.

Assumption of Risk:

Mountain biking and adventure activities carry inherent risks. By participating in our tours or courses, participants acknowledge and accept these risks.

Third-Party Providers: 

We work with trusted third-party providers (e.g., accommodations, transport services) to deliver certain aspects of our tours and courses. While we carefully select these providers, we are not liable for their actions or omissions.

Risk Disclosure 

All participants must read/ understand and sign our Risk Disclosure Form before participating in any of our tours or courses. By signing this form you are aware of the risks and severe risks including death, that can be caused by partaking in our tours or courses, and that you are competent and physically capable of participating in the activity you have signed up for.           

Privacy Policy

Data Collection:

We collect personal information necessary for the booking and operation of our tours and coursess, including names, contact details, and payment information.

Data Use: 

Your information is used to process bookings, communicate with you about your tour or course, and provide customer support. We do not share your personal information with third parties except as required for the operation of the tours or courses or by law.

Data Security: 

We take appropriate measures to protect your personal information from unauthorized access or disclosure.

Governing Law:

These Terms and Conditions are governed by the laws of New Zealand. Any disputes arising from the use of our services or these terms will be subject to the jurisdiction of the New Zealand courts.
